What is behind the numbers

Can we actually host 12 people?
24 of the 99 venues state, in their own words, that they can take 12 people — 23 of those also publish a price, and those 23 are exactly what the rate above is computed from. The other 1 fit but publish no price with us, so it cannot feed a rate. A further 54 never state a capacity anywhere we can quote, so we count them as unknown rather than as a yes — some of those will fit, and we ask them directly when you send a brief. 21 state a capacity below 12 and are excluded from the rate entirely.

Across the whole corporate layer: 99 venues in 23 countries, 97 with a published price, 45 with a capacity stated by the venue itself. We have never run a corporate retreat, so there is nothing here from past clients — only what venues publish and what we can quote.
Where every number on this page comes from
A budget calculator is only worth anything if you can check it. Here is the whole method, including the parts where the answer is that we do not know.
Your headcount decides which prices count
The rate is not an average of the catalogue. It is computed only from venues that state, in their own words, that they can take your number — change the headcount and the bands move, because a different set of real venues is behind them. If fewer than four such venues publish a price, we will not draw a percentile through them: the page says so on screen, names what it fell back to, and you can see for yourself that the fallback includes venues too small for you.
The nightly rate is a real published price
Every venue rate on this page is a live listing price divided by the nights in that listing, giving a per-person, per-night figure. The host set that price, not us. The three bands are the 25th percentile, the median and the 80th percentile of those real rates — the calculator names the sample size next to them and links to the listings behind them.
Where we have no data, the line stays yours
Flights, activities and transfers are not priced anywhere in our data. Rather than print an industry average we cannot point at, those lines start at zero and you set them, and the total tells you in words which lines you left empty. Two of the blanks can be closed from our own data: filter to venues that state meals included or a workshop space of their own, and those lines become a zero we can source rather than a hole.
Facts about venues carry the venue's own words
Capacity, meals, workshop space and airport arrangements are read from each venue's own website or published by the venue on its own listing with us. Anything a venue never states is recorded as unknown and shown as unknown — never as a plausible default.
Our fee is a line item, not a margin
We charge a flat planning fee, agreed in writing before anything is booked, and it sits in the same budget as everything else. It is never a percentage of what you spend, so it cannot grow when your budget does and we have no incentive to push you at a dearer venue.
What this estimate does not include
Being straight about the exclusions is what makes the included numbers believable. Nothing below is hidden in a line above.
- VAT and local sales taxes — they vary by country and by what you book
- Tourist, city and bed taxes charged per person per night at the destination
- Travel insurance, visas and vaccinations
- Anything a venue lists as an extra: spa treatments, private chefs, late checkout, extra nights
- Single-occupancy supplements — the published rates behind this page are per person, and rooms may be shared
- Currency movement between today and the day you pay
- Equipment hire, printing, swag, and anything you ship to the venue
The size we are genuinely good at
Our catalogue is 99 venues across 23 countries, and 45 of them state a group capacity in their own words. The largest capacity stated anywhere in it is 40 people. That is not a number we would print if we were trying to look bigger than we are — it is the number that tells you whether to bother with us.
For a leadership team, an exec offsite, or a pod of eight to twenty-five, that is an advantage rather than a limit — and here is exactly how much of an advantage, counted rather than asserted. 7 of the 99 state whole-venue hire in their own words. 35 of the 97 priced venues state that meals are included in the rate. 27 state a workshop or meeting space of their own. Every other venue is silent on those things, and a silent venue is recorded as unknown here, not as a yes — which is why the calculator lets you filter down to only the ones that do say so, and recomputes the rate from those.
For a company-wide offsite of eighty, we have never sourced a venue outside this catalogue for a company, so we will not tell you we can. Ask and you get a straight yes or no in writing rather than a shortlist that wastes a fortnight.
We have never run a corporate retreat, so there are no client logos, case studies or ratings anywhere on this site. Everything you can check here is a published price or a venue’s own words, which is the only kind of evidence we have earned so far.

No. There is no form on this page, no gate, and no step where the total is hidden until you identify yourself. Read it, copy it, close the tab. If it is useful, come back.
Does the number actually change when I change the headcount?+
Yes, and that is the point of the first box. The rate is computed only from venues that state room for the number you typed, so at 20 you are being quoted by the venues that can take 20 — not by a cottage that sleeps four. Change it and watch the three bands move. Where too few venues that fit publish a price, the page tells you it has fallen back to a wider pool instead of quietly pretending.
How accurate is this?+
The venue line is as accurate as the prices hosts publish, because it is those prices. It is an estimate, not a quote: rates move with season and availability, and a whole-venue hire is negotiated per booking. Everything else on the page is a number you typed, which is exactly why it is honest.
