RetreatBird for Companies

Which venues can take a team of 40?

Set your headcount and nights. You see the venues that state they can take you, what each one charges per person per night, and what 40 people for 3 nights adds up to — with no login, no email and no call. Every fact opens to show the sentence on the venue’s own site it came from.

Bigger than what is listed? Then it is a sourcing brief, and that is the job — we read the venues' own sites, keep only the ones that state a size covering your group, write to the operators about your dates, and the plan comes back with what each of them said. Same 48 hours, same sources attached to every number.

Prices public, no email gate A written plan with a line-item budget, in 48 hours No calls at any point
Read the plan before you send anything

“Listed” is what you can browse on this page right now. “To source” is venues whose own website states that size, which we have verified and would approach on your brief — we do not list them and we have never worked with them. Any headcount is a brief we will take; type your own in the box above.

2 listed venues state they can take 40

The listed count is out of 96 venues in the corporate layer across 23 countries. Only 43 have ever stated a group size — either a number quoted from their own website, or the largest group they sell on their own listing, which is evidence a group that size stays there rather than a published bed count. Each card says which of the two it is, and a venue that has stated neither is never counted as fitting you.

What is listed is what you can browse this second. It is not the limit of what we will go and get: we have already verified 49 venues we do not list, across 13 countries, stating group sizes up to 105 — every capacity quoted from the venue's own website. Whatever your headcount, the brief is the same one, and the plan comes back with what each venue we approached said.

The deliverable, in advance

This is the plan. Read it before you give us an email address.

A written plan with a line-item budget per venue, in your inbox inside 48 hours. Entirely self-serve — no scoping call, no discovery session, no deposit, and nobody rings you afterwards. Send the brief on a Tuesday afternoon and it is sitting in your inbox before Thursday morning.

We checked which venues can state they take 40

2 of the 96 venues in this index state a group size that covers 40. Only 43 have ever stated a size at all — the rest are named in the plan as unknown rather than quietly dropped, and the ones worth asking, we ask.

We priced 2 options end to end

Amoraleza, Barefoot Circus — each one gets its own copy of the budget below, with the venue’s answer written into the rows that are open today. Up to three venues, fewer when fewer honestly fit.

We asked the 5 questions this venue’s own site does not answer

The full list is published below, in the words we send. 4 of the 9 are already half-answered by Amoraleza’s own site, and the plan shows you that sentence rather than retyping it as ours.

We wrote down what we could not confirm

A plan that only contains good news is not worth reading. Anything the venue would not answer, or answered vaguely, is listed as unconfirmed with the question still attached — including when the honest answer is that none of this fits you.

Page 1 of your plan — option 1

Amoraleza

40 people · 3 nights · every row labelled with where its number comes from

  • The venue — beds and the place itself

    €18,000

    from the venue’s published price

€150 per person per night × 40 × 3. That rate is worked out from the 5-night retreat this venue publishes — their own price level, which is why the plan replaces it with a figure they quote for 3 nights of your own.

  • Food — three meals a day

    — we ask, then it is a number

    we ask the venue

Not stated anywhere we can read. We ask what a full day of food costs per person, and it lands here as a number.

  • A room you can work in all day

    — we ask, then it is a number

    we ask the venue

Their site states a space, but never what it seats, whether it has power and a wall to project on, or what it costs for 3 days — those four things are the ask. How they describe it: “Geodesic dome and yurt temple for ceremonies, workshops, and gatherings”

  • Getting there from the airport

    — we ask, then it is a number

    we ask the venue

Nearest airport stated: Granada and Malaga. No transfer cost is stated, so we ask for one per vehicle. Their words on the journey: “45 minutes south of Granada and 30 minutes from the Mediterranean Sea”

  • Anything you want to do off-site

    — your brief fills this

    your brief fills this in

Empty until your brief says what the days are for. A planning offsite and a team that wants to be outdoors on day two produce different numbers here.

  • Flights

    — your number, not ours

    you price this, not us

We do not guess airfares and we do not quote a benchmark we cannot source. You put your own number in this row — the plan leaves it blank and says so.

  • RetreatBird planning fee

    — quoted in the plan

    quoted in the plan itself

A flat fee, written into this same budget as its own line, agreed before anything is booked — never a percentage of what you spend, so it does not move when the venue’s price does. You see the number in the plan, before you commit to anything, and if you walk away the plan is still yours.

What you can already see, today, without us

€18,000

That is the only row we can fill from public information — and you can read it on this page without telling us anything. The plan exists to turn the rows marked we ask the venue into numbers, and to put our own fee next to them in the same table instead of at the end of a phone call.

The questions the plan answers, in the words we send

9 questions for Amoraleza. 4 are already part-answered by their own site, so we quote them their own sentence and ask what it leaves out. The other 5 are published nowhere on the internet — which is why the plan takes 48 hours and not 48 seconds.

  1. 1

Can 40 of us actually sleep there on our dates, and how many of us share a room?

The largest group they sell on their own listing is 40 — a group they run, not a stated bed count. The building is still an open question.

  2. 2

Would we have the whole place, or would we be sharing it with a yoga group?

Open — nobody publishes this. It is what we go and ask.

  3. 3

Is there one room all of us can sit in for a full working day, and what does it seat?

They describe a space but never what it seats: “Geodesic dome and yurt temple for ceremonies, workshops, and gatherings”

  4. 4

Is the Wi-Fi good enough to run a video call from that room?

Their site states Wi-Fi. Nobody states a speed, so we ask.

  5. 5

What is the all-in price they will actually hold for us, including tax?

Open — nobody publishes this. It is what we go and ask.

  6. 6

Which dates in our window are still open for 3 nights?

Open — nobody publishes this. It is what we go and ask.

  7. 7

What has to be paid, and when — deposit, balance, cancellation terms?

Open — nobody publishes this. It is what we go and ask.

  8. 8

What are the meals, and are they in the price?

Open — nobody publishes this. It is what we go and ask.

  9. 9

How do we get there from the airport, how long does it take, what does it cost?

No cost is stated anywhere. Their own words on the journey: “45 minutes south of Granada and 30 minutes from the Mediterranean Sea”

Who writes it

Tom Donald, who founded RetreatBird. He writes the plan, he emails the venues, and he is the name that signs every reply from hello@retreatbird.com — so the person you write to is the person who answers. There is no account manager and nothing gets passed to a team.

What he cannot offer you is a client list. No company has run a corporate retreat through RetreatBird yet — that is why there are no logos, no case studies and no testimonials anywhere on this page, and why the plan is free and yours to keep. Judge it on the document, not on our reputation, because we have not earned one yet.

If the plan is useful and you would rather book the venue yourself, you can. Their own website is linked on every card above, and the listing each price came from is public.

Send the brief — one required field

What you are probably about to ask

How long does it take, and do I have to talk to anyone?+

48 hours, and no. Send the brief on a Tuesday afternoon and the plan is in your inbox before Thursday morning. There is no call at any point — not a discovery call, not a scoping call, not a call at the end. We do not do calls, so nobody is going to try to sell you anything by voice. If you would rather ask something first, email works.

What does it cost me?+

The plan is free and yours to keep whether or not you book. The venue’s price is the venue’s — we are the marketplace, so there is no agency stacked between you and them. Our own planning fee is a flat amount, agreed in writing, sitting on its own line inside the same budget you are reading, and it never moves as a percentage of what you spend. You see that number in the plan, before you commit to anything.

Why is your fee not published as a number on this page?+

Because it is set per brief and we are not going to print a figure here that we then quietly change in an email. What we will commit to publicly is the shape of it: flat, in writing, in the same table as everything else, never a cut of your spend, and visible before you owe anything. And there is a floor under the risk — every venue on this page links to its own website, and the listing each price came from is public, so if you decide the fee is not worth it you can take the plan and book the venue yourself.

What do you actually need from me?+

A work email. That is the only required field. Your headcount and nights are already filled in from the page you were looking at, and everything else — company, name, dates, budget, what the retreat is for — is optional and only makes the plan sharper. A brief with rough dates in it gets a better answer than one without, because availability is the one thing nobody can answer without asking.

Have you done this before?+

No. No company has run a corporate retreat through RetreatBird yet. That is why there are no logos on this page, no case studies, no testimonials and no satisfaction scores — there is nothing true to show, so we show nothing. What exists is the catalogue you are reading, every fact on it traceable to the venue’s own words, and a plan you can judge on its own merits before you spend a euro.

We are 60 people. 120. Are we too big for you?+

No. The list on this page is what you can browse this second — venues that have already put a group size in writing. It is not the ceiling on what we will go and get. Above it we source: we read venues’ own sites, keep only the ones that state a number that covers you, email the operators about your dates, and the plan comes back with what each of them said. Put your real headcount in the box at the top and the page shows you both halves — what is listed at your size, and the venues we have already verified at it.

What if none of the options work?+

Then you keep the plan and we stop. There is no deposit to get back and no retainer. Every venue in it is one that stated it fits your group, so the plan never pads a shortlist with near-misses — and if the ones we approached came back full or wrong, the plan says so in its first line and names who we asked next.

Send the brief, get the plan

Within 48 hours: up to 2 venue options, each one built into the budget table above — we ask the venue about your dates and their answer comes back written into the open rows, with our flat fee on its own line. Free, yours to keep, and there is no call at any stage.

Put your real headcount in, whatever it is. If it is a size the list already covers you have seen the options above; if it is bigger, we source — the same 48 hours, and the plan names every venue we approached.

How to read this page

Capacity is never estimated

A group size is shown only when the venue stated it — quoted from its own website, or the largest group it sells on its own listing, and each card says which. 43 of 96 venues have stated one. The other 53 are listed separately, not padded into your results.

The rate is a programme price, split

Every price comes from a retreat that venue publishes on the marketplace, divided by its nights — €138 is the median across all 96 venues. That buys a programme, not bare venue hire, so it shows their price level and a short stay rarely prices in a straight line from it. Each card prints the retreat it came from.

The total is arithmetic

Rate × people × nights, computed for the headcount in the box above. It is the venue's own price level, not a quote — the plan replaces it with a figure the venue gives us for your dates.

What the total leaves out

Flights, food unless the venue states it is included, a meeting room, transfers, and anything you want to do off-site. Every one of those is a labelled row in the plan above. Our planning fee is separate and flat, agreed in writing on its own line — never a percentage of what you spend.
