For retreat leaders
Partner terms
Last updated 26 October 2026
These are the commercial terms between RetreatBird and the retreat leaders who list with us: what we charge, when we invoice, and what happens when a booking is refunded or postponed. Listings, content and photos are covered by the general terms of service. These terms apply to bookings made from 26 October 2026; we’ll email you before any change. Questions: hello@retreatbird.com.
In short
- Listing is free. Our commission is 15% of what the guest pays you for a booking that came through RetreatBird.
- Your rate on a booking never changes after the guest books, and guests never pay us a fee on top of your price.
- We invoice after the guest’s stay, once the stay is confirmed. One invoice per booking, due in 14 days.
- Full refund to the guest: no commission. Partial refund: 15% of what you keep.
- Postponed stay: same booking, new dates, commission once, after the stay that takes place.
- Paid by card through us: the guest’s 25% deposit pays our 15% and Stripe sends you the rest of it — no invoice for that booking (section 6).
1. Who you are dealing with
RetreatBird is operated by WHPH. Global Corp, a Delaware corporation, 42 Broadway, Suite 12-677, New York, NY 10004, United States. It is the party to these terms and the issuer of every commission invoice.
Guests book with you and pay you directly. The only payment that goes through RetreatBird is a card deposit where section 6 applies: WHPH. Global Corp charges it, keeps our commission, and Stripe pays your share from that payment to your own Stripe account.
2. Commission
Our commission is 15% of the amount the guest pays you for the retreat they booked through RetreatBird, meaning a booking that reached you from us with an RB- reference.
There is no listing fee and no subscription.
The rate is the same for every retreat leader. Your rate on a booking never changes after the guest books, and we never add a fee on top for the guest.
3. When we invoice
We invoice after the guest’s completed stay, never before. When the last day of the stay has passed, we ask the guest whether they went. Once the guest, or you, confirms the stay took place, we issue the invoice.
The invoice is for 15% of the final price you and the guest agreed. If we do not have the final price, we confirm it with you first; we never invoice on an estimate.
There is one invoice per booking, with its own RB-INV number, issued by WHPH. Global Corp. It is due within 14 days of the invoice date. We email you a link, and you can see and print every invoice under Invoices in your dashboard. We send a reminder 7 days after the invoice date and another on the due date.
Pay by card in your dashboard where card payment is available, or by bank transfer — reply to the invoice email.
4. Cancellations and refunds
Commission follows the money you keep:
- Full refund to the guest: no commission.
- Partial refund: 15% of what you keep.
If a refund changes what you keep after we have invoiced, tell us by replying to the invoice email. We cancel that invoice and, where you kept something, issue a corrected one for 15% of it. If you had already paid, we pay back the difference by bank transfer.
5. Postponements
When a guest postpones and you keep their payment as credit for new dates:
- The booking keeps its RB- reference and moves to the new dates.
- We invoice the commission once, after the stay that actually takes place.
- If the booking was already invoiced, or you already paid, that invoice covers the new dates. Commission already paid on a booking is never charged again.
- If the postponed stay never happens and the guest’s credit lapses or is refunded, section 4 applies: no commission on a full refund, 15% of what you keep otherwise.
To record a postponement, reply on the booking’s email thread or write to hello@retreatbird.com with the reference and the new dates.
6. Card deposits and getting paid through RetreatBird
This section applies from the day card deposits are switched on for your listings; we’ll email you before that. Card deposits through RetreatBird are not switched on yet.
Who it is for. Retreat leaders who choose “Get paid by card” in their dashboard and open a Stripe account in their own name, where Stripe can pay out from a US platform (the United States, Canada, the United Kingdom, the European Economic Area and Switzerland). Everyone else keeps sections 3 to 5: guests pay you directly and we invoice after the stay.
The deposit. On your priced retreats, a guest pays a deposit of 25% of the estimated price with their booking request. It is a hold on their card, charged only when you confirm the dates; if you decline or do not answer in time, it is released and nobody is charged.
The split. When it is charged, we keep our commission of 15% of the estimated price and Stripe transfers the rest of the deposit, 10% of the estimated price, to your Stripe account, from that payment, converted by Stripe at its rate where the currencies differ. That booking is then settled: we send no commission invoice for it, and you collect the rest of the price from the guest directly.
If the guest cancels, your own cancellation terms decide what the guest gets back of the deposit. You keep the rest, and our commission is 15% of what you keep, as in section 4: we add to your transfer or take part of it back to match. If the guest gets the whole deposit back, we take back the whole transfer and keep no commission. If you cancel, the guest gets the whole deposit back.
Keeping the whole deposit. Only where you agree it with us in writing (we record the date), RetreatBird keeps the whole deposit when a guest cancels outside your refund window: nothing is transferred to you for that booking, or your transfer is taken back. It applies only to bookings whose guest was shown it, in plain words, before paying.
If a guest disputes the payment. If a guest disputes the card payment with their bank and the dispute is lost, we may take back the share we transferred to you for that booking.
