How we source and use retreat operators' information

Your retreat was listed publicly online and/or on your own website. We collect business and listing details from publicly accessible sources, and we may look up a business contact email through commercial business-contact data providers (Hunter, Apollo). We did not receive this information from you directly, which is why we're giving you this notice.

Business contact details (business name, business email, phone, website, social links) and public listing information (title, description, location, pricing, and photos as publicly shown). For a venue, we may also note what its own website states about group size, whole-venue hire, meeting space and the nearest airport, with the page each fact appears on. We do not collect special-category data.

To prepare a draft listing for your retreat and to invite you to claim and manage it. A draft listing is not shown to travelers unless you claim it.

If your venue's own website states that it can host a group, we may also name it on our pages for companies planning a retreat — with its location, a short description in our own words, and the group size your site states, quoted with a link to the page it appears on. We may also suggest it in retreat plans we prepare for companies that ask us for one.

Our lawful basis is legitimate interests (Art. 6(1)(f) GDPR) in building a retreat marketplace, reaching relevant operators and helping companies find a venue for a retreat. If you claim your listing, we then process your data to provide the service under our contract with you (Art. 6(1)(b)).

Service providers who process it for us: hosting and storage (Vercel, Supabase, Cloudflare); email (Google Workspace, Resend, Maildoso); business-contact enrichment (Hunter, Apollo); text-processing service providers, which help us write the draft listing in our own words and identify the business behind a retreat; and LinkedIn, when we send an invitation there. Some of these providers process data outside the EEA under appropriate safeguards (Standard Contractual Clauses).

If your venue is named on our pages for companies planning a retreat, what is shown there is public. If we suggest your venue in a retreat plan, the company that asked for the plan receives what we wrote about it. We do not sell your information.

Until you claim your listing or ask us to remove it. If you opt out, we keep a minimal suppression record so that we don't contact you again.

You can access, correct, delete, restrict, or port your data, and object to or opt out of marketing at any time — email privacy@retreatbird.com or reply “unsubscribe” to any message from us. You also have the right to lodge a complaint with a data-protection supervisory authority, in particular in the country where you live, where you work or where you believe the problem arose.
