Before you read further: the largest group capacity stated anywhere in our catalogue is 40 people2 venues state it. We are not an incentive house: no air programme, no awards production, no bonding or accreditation. If any of that is a requirement, we are the wrong supplier and the rest of this page will not change that.

How many people can we actually take? Here is the count, and where it comes from.

Count the whole travelling party — winners, partners, and anyone from leadership who comes along. That is the number a venue has to fit, and it is the number we shortlist against. Unknown capacity is never counted as a yes.

Two kinds of evidence, and they are not equally strong

13 of the 44stated capacities are a sentence on the venue’s own website, quoted and linked. The other 31 are the largest group the venue sells on a public retreat, published by the venue itself on its own listing with us. That is real, first-party evidence that a group of that size stays there — it is not a statement that the building can host a private party of that size, and this page will not let the two read alike.

Worth knowing before you lean on the ceiling: all 2 venues at 40 Barefoot Circus and Amoraleza — come from the second kind. The single most-repeated number on this page rests on the weaker of the two sources, and confirming it is the first thing the plan does.

These are retreat centres, not resorts: small places built for one group at a time. 7 state whole-venue hire outright in their own words, 29 state a workshop or meeting space, and 38 state that meals are included. Where a venue has not said, we ask before it reaches your shortlist — and we tell you what they said, including when it is no.

The honest version of “can you scale?” — and the thing you can buy today

No. 25 winners plus partners is 50 people, and not one venue in our catalogue states it can take them. We have no partner network to fall back on and no sourcing team standing by, so the answer stays no until the catalogue changes.

But a top-8 or top-12 tier is a real programme and we have the inventory for it. 30 venues state they fit 8 across 14 countries, and 23 state they fit 12 across 11. At the middle of the 30 published rates behind the smaller tier, that is $858 per winner for 3 nights with a partner. Cut the qualification at the top 8 instead of the top 25 and the whole thing is buyable this quarter.

    We write to the venues ourselves before you see the list, and the plan prints what came back — including a no. The 48 hours is our deadline, not theirs: whatever has not been answered by then is marked as still open rather than left to look like a yes.

What that rate is, precisely

Each venue’s own published per-person retreat price, divided by its own number of nights. So it reflects that venue’s all-in programme rate — usually a bed and whatever that programme includes — not a bare room rate, and not a quote. Rates move with season and availability, and a whole-venue hire is negotiated per booking. Converted from euros at an indicative rate, so treat the figure as approximate.

What is not in it

  • Flights. We do not price flights anywhere in our data and will not invent a figure for them.
  • VAT, tourist and bed taxes, single-occupancy supplements.
  • Transfers, activities, extra catering, and anything the venue lists as an extra.
  • Our planning fee — flat, agreed in writing up front, and never a percentage of spend.

The one unpriced line here is ours, and we are not going to pretend otherwise

This page says a budget answer without a number is not an answer, and then leaves our own planning fee without one. The reason is that no amount has been set yet, and inventing a range to fill the gap would be the same trick as inventing a review. What is committed to publicly is the shape: flat, agreed in writing before anything is reserved, on the same line-item budget as the venue, never a percentage of what you spend.

And there is a floor under the risk: the plan is free and yours to keep, and it names the venue and links its public listing. If the fee is not worth it when you see it, take the document and book the venue yourself.

Its bands are drawn from every priced venue in the region you pick, while the table above is drawn only from venues that fit 12 people — so the two medians will not be identical, and neither of them is rounded to look neater than it is.

We have no clients to show you, so look at the work instead

What should we budget per winner?+

At the middle of our published rates, a winner who brings a partner costs $924 for 3 nights of venue — $558 at the simpler end and $1,578 higher up. A winner travelling alone is half of that: $462 in the middle. Those come from the 23 published rates at the 23 venues that state they can take 12 people. Add flights, which we do not price, plus taxes, transfers and activities, and our flat fee.

That is far less per winner than our programme is benchmarked at. Is this a downgrade?+

It is a different product, and you should decide that on purpose rather than discover it. These are small retreat centres, not beach resorts with a ballroom, so the per-winner number is lower because the trip is smaller and quieter — a whole place to yourselves, food, space, and nothing produced. If the reward your winners are chasing is a resort programme with a gala, the right move is to spend that budget with an incentive house, and we would rather say so here than after you have sent a brief.

We have 25 winners plus partners. Can you handle 50 people?+

Yes — send it. What you can browse on this site today is the part that is already listed, and at 50 people we go and source the rest, which is the normal way this works for a group that size. We read venues' own sites, keep only the ones that put a number in writing that covers your party, ask them about your dates, and the plan comes back with what each of them said. The plan also tells you which venues were already on the marketplace and which we approached for you, so you always know which is which.

Do you book the flights?+

No. No group air contracts, no ticketing, no seat changes, no schedule watching. You book flights yourselves or through whoever handles your corporate travel. The plan we write assumes that and leaves the flight line to you rather than filling it with an average we cannot point at.

Is our money protected if the venue fails?+

Not by us. We hold no bonding, no escrow and no supplier-failure insurance, which is exactly why we never take your travel money. You contract and pay the venue directly, so whatever protection exists comes from that contract and from your own insurance — not from us. If your finance team requires protected client funds, you need a bonded operator, and we will say so rather than talk you round it.

Who does someone reach at 3am if something goes wrong on the trip?+

The venue, because the venue is who you contracted with and who is on site. We do not operate a 24/7 emergency line and we do not run a duty-of-care protocol for employees abroad. If your travel policy requires one, it has to come from your own provider or insurer, and we will write the plan to sit alongside it.

Can you run the awards night, the announcement and the gifting?+

No production, no staging, no AV, no scripts, no branded gifts. What we can do is put the venue side in writing: whether there is a private dining room, whether the venue states a workshop or meeting space, and what the venue quotes for a private dinner when we ask it. If the centrepiece of the trip is a produced awards show, hire someone who produces those.

Can we have the whole place to ourselves?+

Sometimes, and we will not pretend it is the default. 7 of our 111 venues state whole-venue hire in their own words — among the 23 that fit a party of 12, 2 do. For every other venue it is a question we ask the operator when your brief arrives, and the plan prints what they said, including no and including silence.

Have you ever run an incentive trip?+

No. Not one, for anybody. There are no case studies, no client logos, no testimonials and no ratings on this site, and none will appear that were not real. What exists is a catalogue built by reading venues' own websites, published prices you can check, and a plan format published in full — judge the work, since there is no track record to judge.

Is there a call?+

No, and not as a next step either. Everything is written, which means you can forward it, compare it, and get it approved internally without repeating a conversation — and every commitment is a sentence someone can point at later. What do you charge, and when?+

If you want us to run the booking, we agree a flat fee in writing before anything is reserved, and it appears as its own line on the same budget as the venue. Never a percentage of your spend: a planner paid on a percentage has a reason to want your trip to cost more. We have not printed an amount because one has not been set, and inventing a range to fill the gap would be the same trick as inventing a review.

Every venue we shortlist is gated on that figure, so 12 winners with partners is 24, not 12 — and a shortlist built on 12 would send you places that cannot hold your group. It is the single most expensive thing to get wrong on this form.

Headcount is the one thing we can’t guess: every venue we shortlist has to have stated, on its own site or listing, that it can take a group your size.
